ThreeWill successfully migrated the critical Jive intranet content of one of the leading children’s hospital systems in the U.S. to Microsoft 365 in just 13 weeks. The hospital needed to complete the migration before the grand opening of a new 446-bed hospital later in 2024 and wanted to consolidate IT systems to save money on Jive licenses. We ensured the content supporting patient care transferred efficiently, with no loss of crucial information.
We also created a focused News Center that hosted recent Jive news content and provided an effective communication channel for upcoming changes and organizational news. The hospital planned to transition patients to a new, larger campus, so having a reliable news center with alerts and notifications became essential. Consolidating the information into M365 also improved search functions, benefiting staff as they cared for patients.
This case study outlines how we completed this Jive migration to Microsoft 365.
Background
This hospital system, one of the largest pediatric providers in the U.S., delivers round-the-clock medical care. The organization manages over 1 million patient visits annually. With content spread across multiple systems and a tight timeline, they needed to consolidate it efficiently into Microsoft SharePoint and Teams.
Problem
The project posed two main challenges: content consolidation and time urgency. We needed to transfer over 52,000 content items, ranging from organizational news to patient care procedures, from Jive to M365. Relying on manual migration methods would have delayed the timeline. To meet the deadline, we used ThreeWill’s robust Jive-to-M365 migration tools and our proven process.
Approach
We worked closely with the hospital to address these challenges using our established Jive Migration utilities. Here’s how we tackled the issues:
- Standardization and Automation: We developed a standardized approach for the migration. Using ThreeWill’s migration utilities, we extracted, transformed, and uploaded the content to M365 efficiently. We also updated internal content links to reflect the new SharePoint links when in-scope, which saved content authors time from manually updating links.
- Content Curation: The hospital decided to migrate only 54% of their Jive content, focusing on the most valuable and up-to-date information. Our migration tools made it easy to select and transfer just the necessary content. We archived older content for future access.
- Content Consolidation: We consolidated approximately 400 Jive places into fewer than 10 SharePoint sites and Teams. We performed duplicate name checks and standardized content titles to prevent overwriting. Automated checks ensured we successfully migrated all content. This became one of our most ambitious Jive content consolidation projects.
Outcome
The migration produced outstanding results:
- Time Efficiency: Automation allowed us to complete the entire content migration within 13 weeks, ensuring other planned projects stayed on track during this critical year of growth.
- Content Curation: We migrated only current, high-value content to SharePoint and Teams, while archiving older content for easy access when needed.
- Cost Savings: The hospital eliminated extra licensing costs by discontinuing the legacy Jive system.
