At ThreeWill, we’ve seen firsthand how documenting core processes in SharePoint improves governance, operational efficiency, and ultimately drives maximum business impact. We’ve helped numerous companies achieve alignment by building what we call “The Way” site. For the sake of this blog, we’ll use the alias ABC Solutions to tell the story of how we helped one such company improve collaboration and efficiency. By documenting and organizing their most critical processes, we helped ABC Solutions get everyone rowing together.
The Challenge of Misalignment and the Need for Documented Processes
When we began working with ABC Solutions, they faced a significant challenge: misalignment across teams and departments. Processes were being executed inconsistently, leading to confusion and wasted effort. For example, teams weren’t clear on who was responsible for key tasks, and this lack of clarity often resulted in duplicated work or missed opportunities. Without a standard and clear accountability, important tasks were being missed due to employees assuming it was “someone else’s job”.
The lack of a centralized system for process documentation further exacerbated the problem. Communication gaps grew wider, with important updates getting lost in email chains or scattered across different communication platforms, such as Slack and Microsoft Teams. Employees relied on outdated or incorrect information, which made it nearly impossible to ensure everyone was on the same page.
This misalignment wasn’t just an inconvenience—it was having a direct impact on the company’s productivity and ability to innovate, highlighting the urgent need for a more structured, aligned approach to managing processes and responsibilities. They needed a better way. They needed their version of “The ThreeWill Way”.
How We Built “The ABC Way”
Our first step was to meet with ABC Solutions’ leadership team to identify their most critical business processes. The processes were, in turn, documented in a clear and concise way, using RACI charts to define roles. This tool helped clarify who was Responsible, Accountable, Consulted, and Informed for each task, quickly showing employees “who was in charge of what”.
Next, we centralized these RACI charts into a SharePoint site called “The ABC Way.” This site became the single source of truth for all employees, ensuring everyone had access to the latest information on processes and responsibilities.
Why SharePoint Was the Right Choice
Aside from the fact that the client was already paying for it as a part of their Microsoft 365 subscription, we selected SharePoint for “The ABC Way” due to its flexibility and user-friendly interface. Employees could access information from anywhere, collaborate in real time to make updates, and stay aligned on critical processes. Moreover, SharePoint integrates seamlessly with Microsoft Teams, making it even easier for ABC’s teams to communicate and collaborate on tasks.
SharePoint’s flexibility also meant that as ABC Solutions evolved, they could continuously update their processes. It’s not just a one-time solution—it’s a system that grows with the company.
The Results: Alignment and Accountability
Once “The ABC Way” was fully implemented, ABC Solutions saw a significant improvement in team collaboration.By documenting core processes in SharePoint, ABC Solutions established clear governance, making it easier for employees to stay aligned with the company’s strategic goals. Employees had clear guidance on their roles and responsibilities, reducing confusion and improving efficiency. Processes were no longer known only to those who designed—they were easily accessible, fostering transparency and accountability.
With core processes documented and readily available, ABC Solutions could confidently innovate and implement new initiatives. The company was rowing in the same direction, resulting in greater agility and success.
